Volunteer Treasurer / Company Secretary Needed

The River Waveney Trust, a south Norfolk based charitable Trust dedicated to protecting the environment of the River Waveney and its catchment, is seeking a volunteer to be responsible for the Treasurer and Company Secretarial activities of the Trust. 
We welcome applications for either the combined role or for each individual role separately. Applicants who may wish to apply for a Trustee position and include this work as part of broader Trustee responsibilities are also most welcome.
 
The work can be done from home at a time to suit and should be no more than three or four hours each week.  In addition, attendance at monthly Trustee Meetings is expected. Access to a computer and internet services are necessary. This is an unpaid position.
The Treasurer activities include the responsibility for the overall financial management of the Trust, the preparation of monthly management accounts and reports, preparation of statutory accounts (in conjunction with our external Accountancy agency) and for the cash book, Excel based bookkeeping function. The Company Secretary activities include dealing with the governance of the Trust, legal and statutory requirements of Companies House and the Charities Commission regulations, advice and guidance to the Trustees, insurance matters and general inquiries and correspondence.

The current Treasurer / Company Secretary role covers 3 distinct areas:
 
  1. Bookkeeper
  2. Accountant / Treasurer
  3. Company Secretary
 

1. Bookkeeper

The bookkeeper role is quite basic and is simply to manage and properly record the bank transactions on a daily / weekly basis. The monthly transactions are very few in number (normally less than a dozen or so) and these are managed and recorded using existing Excel spreadsheets. Full bank account reconciliations are completed on a monthly basis. Having already set up the payroll and pension arrangements, this now becomes simply another monthly transaction. There is nothing difficult or complicated about these activities and any reasonably experienced / competent bookkeeper would find the work very easy. Time required - a few hours each week, if that, would be sufficient.
 
In summary, the work involves: (a) handling a small volume of monthly transactions (10 to 15) for receipts and payments (b) recording these transactions in the Excel based cash book (c) monthly bank to cash book reconciliations and (d) handling and maintaining all associated paper work and documents. 

2. Accountant / Treasurer

The accountant / treasurer role is to manage the Trusts finances, produce monthly management accounts, monthly financial reports, budgets, manage restricted accounts, raise invoices and purchase orders, monitor and improve financial policies and procedures of the Trust, arrange the production of annual statutory accounts (provide info and liaise with an external qualified Accountant) and to provide financial guidance to the Trustees. Time required - apart from the initial learning curve two maybe three days a month. Would need someone with financial management / accounting experience. The activities are not particularly difficult or complicated

3. Company Secretary

The Company Secretary role is wide ranging and the areas of involvement include (a) dealing with the governance of the Trust, all the legal and statutory requirements of a Charity, Companies House and Charities Commission reporting and records (b) any general legal issues (c) insurances (d) dealing with inquiries and correspondence directed to the RWT generally (e) advice and guidance to Trustees (e) a multitude of administrative activities which do not logically fall to anyone else. Time required - variable, depending on what is going on at the time. Probably, on average about one or two days each month. Role would suit someone with administrative skills and attention to detail who has time available to deal with things as they arise. Does not require any prior experience as Company Secretary as all activities can be picked up and learned with some effort and time
